A day on the tools, hands free

Follow Ethan as he books a customer in by voice while the AI receptionist books another from a WhatsApp voice note. His health check is written up and priced for him, the customer says yes on their phone, and the parts come off the shelf as he fits them.

What it does

The typing, the chasing and the phone, done for you

Built around how a workshop really works: hands full, phone ringing, customer waiting for a price.

An AI receptionist that books them in

It answers your phone, texts, WhatsApp, Facebook and Instagram, day and night. It takes the name, the reg and the work, finds a time with space in the diary, books it in and sends the confirmation.

Technicians talk, Forecourt types

Clock on, then call out findings, parts and oil while you work. Gloves stay on, and the job card keeps up.

Health checks that write and price themselves

Every finding in plain words for the customer. Labour comes from what you charged last time, and parts from your own shelf at your prices. Add a video if you like.

The customer says yes on their phone

They see what was found and what it costs, pick what to do now and what can wait, and sign. The job updates at once, and the work that can wait is chased for you.

Parts off the shelf as they go on

Say the part number and it comes off stock and onto the job. Oil goes on by the litre, at your price.

Invoices, VAT and Xero

The customer gets a ready-to-collect message with the total. The invoice gets the VAT right, and it goes straight into your Xero.

A job, start to finish

From the first call to the signed collection

  1. 1

    Booked

By the AI receptionist on a call or a message, or by a technician saying it. The reg fills in the bike and its MOT history.

  2. 2

    Checked in

The customer checks the work and signs the jobcard on their phone, so drop-off takes seconds.

  3. 3

    Health check

The technician talks through the bike. Forecourt writes it up and prices it, and he sends it.

  4. 4

    Approved

The customer picks what to do now and what can wait, and signs. The job updates straight away.

  5. 5

    Done

Parts and oil go on as they are fitted. “Job done” tells the customer it is ready, with the total.

Also in the box

  • A diary that knows each technician’s hours
  • Reg lookup with MOT history and advisories
  • MOT and service reminders, timed for each customer
  • Warranty claims written up properly
  • Sales against budget, hours sold and recovery
  • One inbox for every channel, and take over any time
  • Consent recorded for every message, GDPR built in

Questions workshops ask

What does the AI receptionist do?
It answers your phone, texts, WhatsApp, Facebook and Instagram, day and night. It asks for the name, the registration, what the bike needs and when, finds a time with space in the diary, books it in and sends the confirmation. Anything that is not a booking, like a price or a question about a job in progress, it passes to you in the inbox. It never makes up prices or gives advice about faults.
Will customers know they are talking to an assistant?
Yes. On the phone it says it is the automated assistant and that the call is transcribed, and its first message says the same. Everything it says is in the inbox, and anyone in the workshop can take over a conversation at any point.
How do technicians use it?
On their own phone, with nothing to install from an app store. They clock on and talk to the job as they work: “front pads red, one mil”, “fitted front pads”, “four litres of 10W-40”. Forecourt does the typing, and the job card keeps up.
How do health checks get priced?
When the technician finishes, Forecourt writes each finding up in plain words for the customer and prices it: labour from what you charged last time on that model, or the usual time if it is the first, and parts from your own stock at your prices. The technician checks it and sends it, or just says “send it”.
What does the customer see?
A text or WhatsApp with a link that opens on their phone, with no app and no login. They see what was found in plain words, with photos or video and the price, choose what to do now and what can wait, and sign. The job updates straight away, and the work that can wait is followed up for you later.
Can we bring our customers and parts across?
Yes. Import customers and their bikes, and your parts and stock, from a CSV or Excel export of your old system. The Get set up list on Workshop walks you through it, along with prices, opening hours, technicians and your phone.
What do texts cost?
Your plan includes 1,500 texts and 500 call minutes a month. Beyond that, extra texts are 6p and call minutes 12p. WhatsApp messages are billed by Meta to your own WhatsApp Business account, and replies within 24 hours of a customer’s message are free.
Is it just for motorcycles?
Motorcycle workshops come first: the health check, the work menu and the parts matching are all built around bikes. If you run a car workshop, talk to us.
