Module 1 · Sales and Stocktake

A stocktake that takes an hour, not weeks.

Import the stock list, walk the site photographing plates, and it reconciles as you go: what is missing, what should not be there, and what it is worth. Then the manufacturer and funder statement, in minutes.

From £79 per site a month. Unlimited users and scans. No card needed for the trial.

How it works

One walk of the site, and the rec is done

Three steps, and the reconciliation is finished when the walk is.

  1. 1

    Import the stock list

Export from any DMS as CSV or Excel. Forecourt recognises the columns, the statuses and the cost prices itself, and locks the list for the count.

  2. 2

    Walk and photograph

Everyone with a phone counts. Point at the plate, tap. The plate or VIN is read on the device, matched to the list, and the answer is on screen before you reach the next car.

  3. 3

    Review and sign off

Missing, unexpected and wrong-status vehicles with the value at risk. Give each one a decision, sign off, and the report and CSV go straight to the audit file.

Built for the forecourt, and for month end

Reads plates and VINs on the phone

Oblong and square plates, yellow and white, dirty or in shade, and windscreen VINs. No third party sees the photo and there is no per-scan charge.

Works in the back compound

No signal, no problem. Every capture is read and queued on the device and sent when the connection returns. The count never stops.

Reconciles as you walk

Each plate is matched to the stock list the moment it is captured. Missing, not on the list, wrong status: the exceptions are waiting when you finish, with the value at risk.

Knows what is not stock

Workshop diary and off-site registers mean a customer’s car is a customer’s car, and the demo that went out this morning is accounted for, not missing.

The monthly manufacturer rec

Funder statement against stock list and creditor ledger: sold not settled, funded but missing, amounts that disagree, what changed since last month. Signed off, with a CSV for the file.

Audit-ready by default

Every scan has a photo, a time and a name. Every exception has a decision. Every dealer group is completely separate. Every report is one click.

For the accounts team

The manufacturer rec, done in minutes

Upload the stocking statement from the manufacturer or funder. It is matched unit by unit to the stock list, and to the creditor ledger export if you add one. Every difference lands in a bucket your accountant recognises, with the money attached: sold not settled, on the statement but not in stock, funded stock missing from the statement, amounts that disagree. Compared with last month automatically. Signed off with notes. CSV for the file.

Questions dealers ask

How long does a stocktake take?
About an hour for a site of 200 to 300 vehicles with two people, because nobody types a registration and nobody reconciles a spreadsheet afterwards. You photograph plates, the app matches each one to the stock list as you go, and the exceptions are waiting when you finish.
Does it need signal on the forecourt?
No. Photos are read on the phone and kept in a queue if there is no connection, then sent when signal returns. The back compound and the underground car park are where it was designed for.
Do photographs go to a third party to read the plate?
No. The number plate and VIN are read on the phone or tablet itself. The photo is stored privately as evidence for the audit trail and is never sent to anyone to be read. There is no per-scan cost either.
What about customer cars in the workshop, demos and courtesy cars?
They have their own registers. Upload the workshop diary and a scan of a customer car comes back as “customer car”, not “not on the list”. Record a demo, courtesy loan, auction or bodyshop movement and the stocktake treats that vehicle as accounted for while it is away.
Which DMS does it work with?
Any that can export a stock list to CSV or Excel, which is all of them: Pinewood, Keyloop, CDK, Kerridge, DealerWeb, Click Dealer and the rest. The import recognises the columns itself.
What is the manufacturer rec?
A monthly reconciliation of the manufacturer or funder stocking statement against the stock list and, if you upload it, the creditor ledger from your accounts system. It shows what you are still being charged for that you cannot show, what is funded but missing from the statement, amounts that disagree, what changed since last month, and lets a manager sign it off with notes.
