Privacy Notice

Version 2026-09-30. How Forecourt handles personal data under UK GDPR.

Who is responsible

For the accounts of people who use Forecourt (names, work email addresses, sign-in records) Abbeygate Accountancy Ltd, Thurston, Bury St Edmunds, Suffolk, is the data controller. For everything a Dealer uploads or captures through the service (stock lists, workshop diaries, statements and photographs) the Dealer is the controller and we are the processor acting on its instructions. Contact: hello@abbeygateaccountancy.co.uk.

What we hold about users

Name, work email address, role, a hashed password, when and from which address you signed in, and a record of the actions you take in the service (imports, scans, decisions, sign-offs). We hold this because we have a contract with your business to provide the service and a legitimate interest in keeping it secure and auditable.

Photographs

Stocktake photographs are taken to record a number plate. They may incidentally capture people or other vehicles. Dealers should take photographs on their own premises, of their own stock, and tell their staff and visitors that stock photographs are taken. Photographs are stored privately, served only to signed-in users of the same Dealer, and never shared. By default the number plate is read on the device taking the photograph; no photograph is sent to a third party to be read unless the Dealer chooses a cloud recogniser in Settings under its own account with that provider.

Where data is stored

On servers in the United Kingdom and the European Economic Area operated by our hosting providers (currently Vercel and Neon), under contracts that meet UK GDPR requirements. Email is sent through a transactional email provider only to addresses you give us.

How long we keep it

Stock lists and reports for as long as the Dealer's account is open. Photographs for 12 months from the stocktake, then deleted. Audit records for 6 years, in line with normal business record keeping. Account data is deleted within 90 days of an account closing.

Your rights

You can ask to see, correct or delete personal data we hold about you, or object to how we use it, by emailing hello@abbeygateaccountancy.co.uk. Where we act as processor we will pass the request to the Dealer concerned. You can also complain to the Information Commissioner's Office at ico.org.uk.

Cookies

Forecourt sets one strictly necessary cookie to keep you signed in. It is not used for tracking or advertising.
